Using AI to Identify Promising Leads for Seminars

AI analyzes webinar surveys to quickly identify hot leads and improve sales conversion.

1. Issue: Inability to gauge the interest of webinar participants

Company A frequently holds seminars with the aim of generating business opportunities for its products.

When seminars were held in person, they were able to gauge the interest of potential customers through the exchange of business cards and greetings after the seminar, and with customers who showed a high level of interest (hot leads), they would make appointments for demos or business meetings on the spot.

However, in recent years, online events have become the norm, and it has become difficult to have direct conversations with customers. Therefore, they have started to analyze the survey responses as an alternative way of extracting hot leads. However, due to the increasing number of participants, the process of compiling and evaluating the responses  has become time-consuming, and reaching out to hot leads quickly has become a challenge.

As a result, the conversion rate of seminar attendees into sales opportunities is declining.

2. Solution: Using AI to identify hot leads from survey content

The Process Owner will add a Step where AI will automatically analyze the survey results to determine if they are hot leads.

AI-identified hot leads enable faster sales engagement and higher conversion.

1. Confirm application details
  • Once an application for the participation is submitted via the web form, the seminar organizer will decide whether or not to allow the applicant to participate based on their company name, etc.
  • Applicants who have been approved will receive a confirmation email and a reminder email three days before the event.
2. Attendance confirmation
  • The attendance status of participants will be updated by the seminar organizer after the seminar concludes.
  • A survey will be automatically sent to the attendees.
3. Determine promising leads
  • The seminar manager will review the survey responses, which include both multiple choice and free text answers. If an attendee expresses strong interest, the manager will identify them as a hot lead and forward their information to the sales department.
