Such automation is achieved by placing an item in the workflow diagram (such as an automatically sent response email) that will be processed at the time you desire (e.g. after the contact person enters a response).

Various automation items available in Questetra BPM Suite will allow you to automate your operations easily.

Google Calendar: Delete Event

Google Calendar is a system that allows teams to share schedules. It is included in Google Workspace, as are Google Drive and Google Spreadsheets.

The automation items provided in Questetra BPM Suite that were introduced in the previous section are related to Google Calendar. (v13.3.0)

  • Google Calendar: Insert Event
  • Google Calendar: Move Event to another Calendar
  • Google Calendar: Delete Event

The mechanism we will create in the next section uses Google Calendar: Delete Event.

Automatic Deletion of Appointments from Calendar after Reservation Cancellation Process

In the article Recommendation for Automation – Google Calendar: Insert Event we established a system that automatically adds appointments to a calendar when a product demo appointment is accepted.

In this article, we will build a system that automatically deletes appointments added to the calendar when a reservation that has been applied for is cancelled. The calendar schedule is deleted in the following manner.

  • Cancellation requests for product demos are received by phone or email.
  • The person in charge of the cancellation process searches the application information related to the product demo and processes the cancellation for the corresponding data.
  • The schedule registered in the Demo Appointment Calendar and the Availability Calendar is deleted.

Add a deletion-related flow to the workflow diagram created in Recommendation for Automation – Google Calendar: Insert Event (next figure).

In the newly created workflow, the person in charge of cancellations enters the schedule ID of the appointment to be deleted in the blue square item “Cancellation”. The two grey square items that follow “Cancellation” will delete the corresponding appointments from the two calendars.

The person in charge of the actual cancellation does not manually enter the appointment ID, but rather processes the cancellation in the following steps. (It’s easy!)

  • Search for information on booking a product demo by name or email address.
  • When you find the relevant information, click “Start a new Process with these data” on the detail screen.
  • On the screen that appears, the schedule ID to be deleted will be entered, so click the Process Complete button.

After this, the corresponding appointments are automatically deleted from the two calendars.

We introduced how to automatically delete appointments registered in Recommendation for Automation – Google Calendar: Insert Event.

When deleting an appointment, the appointment ID registered in Google Calendar is required, but if the appointment ID is obtained at the time of registration, it can be deleted without problems.
