In the article «Where’s the Token?«, I suggested that you should first draw a workflow diagram of the task in order to know the location of the Token.
In this article, I will describe how to use a workflow system (digital way) in order to grasp where the Token is located in a workflow diagram.
A workflow system that allows you to draw complex workflow diagrams
A system that clarifies the location of the Token on the workflow diagram is commonly called a workflow system (sometimes it is called a BPM system).
However, some workflow systems allow you to draw only predefined workflow diagrams (mainly used in the approval flows).
In this article, I will introduce a workflow system called Questetra BPM Suite with which you can draw complex workflow diagrams. You can handle various target tasks with the system.
Drawing a workflow diagram
One of the functions Questetra BPM Suite provides is a process modeler where you can draw a workflow. It runs in a web browser and is immediately available.
The workflow is drawn by just dragging and dropping icons onto the working area, arranging them, and connecting them with a line.
Delivery of the Token
Once you’ve drawn a workflow diagram and set up some settings, you’ll be able to progress the Token of the Tasks in Questetra BPM Suite.
In the initial Task of Data Submission Request, if you enter data, such as a deadline date for submission or a period of the data, the Token flows to the next Task.
After the Task of Data Submission Request, the Token passes through a diamond-shaped icon on the flow and the Token passes to two split flows. Then, the Token for each branch reaches two Tasks of Submit X Data and Submit Y Data.
In the Tasks of Submit X Data and Submit Y Data you can open a screen for attaching data, so the Token passes to the next Task again if you enter the data in each Task.
By repeating these things, the Token passes through the workflow diagram.

You need to draw a workflow from scratch. Furthermore, by using Questetra BPM Suite, the delivery of the Token is carried out in Questetra BPM Suite, which enables you to see clearly the location of the Token.
