Straight-lined Management from Application Acceptance to Service Provision

Q. What kind of business are you using Questetra for?

Silver Egg Technology Co., Ltd. develops and provides artificial intelligence (AI) based Web marketing services.
We offer “Aigent Recommender”, which is a real time recommendation service, mainly.

Recommendation service is a system that recommends goods / information suitable for the user’s preference at the EC site and various services. Our recommendation service is based on our proprietary developed AI algorithm, which grasp and analyze the site access, purchase situation, behavior flow of each user in “real time”, so that It can display recommended products and information suitable for each person’s preference instantaneously.

We are using Questetra in Issues management of our advertisement distribution service.

We are managing the progress of each work starting from service application acceptance to implementation work (server setting / parameter arrangement / banner production etc.). We have been using it since launch of advertisement distribution business in 2012, and about 20 people manage hundreds of Issues per year.

 

Q. What kind of challenges did you have?

Prior to launching the advertisement distribution business, we had been managing the Issues with Excel.

When an application was made, it was filled in the application sheet in Excel, and the person in charge of the implementation work browsed it periodically and worked on it. However, in Excel-centered management, there was a problem of missing entries / errors and delays, and it was not possible to accurately grasp the situation of implementation work, so the response to the progress delay was sometimes delayed.

In addition, since multiple tasks are carried out concurrently in implementation work, there was also a problem that it was difficult to understand which tasks are affecting the overall progress.Therefore, we needed a tool to become capable of understanding the work currently underway in the flow diagram.

 

Stable Utilization for about 6 Years from Launch of New Business

Q. How did you develop the Workflow at the time of its introduction?

Workflow design was done by one person in charge alone.

He designed the Workflow according to the system construction associated with the launch of the advertisement distribution business. After that, we made trials in real business for about 3 months and finished the Workflow system with slight modifications. Even though we started full-fledged operation since December 2012, there have been no noticeable problems for six years, and we are using it with confidence.

 

Q. Is there anything you have devised?

In order to grasp the progress status of the project at a glance, we devise how to draw flow diagrams.

We made careful not to reduce the visibility of the workflow diagram, by not intersecting the arrow lines (sequence flow) that connecting the Steps, or not dividing the Process more than necessary. By doing this, we can easily grasp the stagnating status in the Issue detail information.

We also improve convenience by promoting the use of Questetra using smartphones so that access from outside the company such as business trip destination.
